Introduction

  • The searches allow one to locate Smart Boxand their files using filters, and display the results in the form, itemization, and order predefined in the corresponding search templates.
  • The users with faculties to administrate search templates (according to their user role) may access theAdministration/administration of predefined searches from the Floating icon menu, and in the list, all those searches that they may administrate, and they may create new templates.
  • Each user has only at his disposal those predefined search templates that have been assigned to some group of users of which he is a member.
  • The search templates may have marked the box “show on Web”. The users may use these from any Web-browser to search for CIFKM elements and thus access and download their files.

Who can create and edit templates?

There exists a privilege within the user permissions (see user roles) by means of which one may assign a user the ability to administrate search templates. From the menu option administration of default searches this user will be able to create new templates or modify those he has been assigned for his administration.

Each template includes a permissions section where the groups of users are included that may use it, and the groups that may administrate it, by means of template roles.

Create or edit the template

When we create or edit a template we do so by means of its window, where we identify the following sections

1.- Section for the identification of the template. We may indicate a name, a description and the icon with which it will be identified in the desktop and the templates list.

2.- List of sections for the configuration of a template. In the screenshot of the example, we see that some sections of the list have a yellow rombus that indicates that the corresponding section has data. It is also possible to see the different sections in the form of tabs to allow more horizontal space. This is configured in the option “View” of the menu.

3.- In this space we see the section/tab selected in section 2. Here the template configuration lists will be shown, as we shall see below.

4.-This drop-down menu allows the administrator of the window to create a new help on the fly for the template, or assign a help already created, that will later be shown in the the search form corresponding to the template with the button .

5.-Button to launch the designer of the search form, with which one will edit the form that the users of the corresponding predefined search will view. From the form designer one will be able to link up the conditions of the filter with the available controls.

6.- Box to mark if the search template may be modified in (search form may be accessed from) any web navigator for consultations and downloads of the CIFKM element files.

7.- Allows one to select an icon or image with which the template will be shown in the list of search forms and in the desktop so that the user may identify the search in an inequivocal form.

Template permissions

The permissions of the templates define what groups of users have access to them and with what privileges. Thus, a group of users will have administration permissions over the template (perform changes in the template), while others will only be able to perform searches with it. The permissions columns are defined in the administration of template roles.

Filter by user groups

When we search for Smart Boxone of the filters may be the groups of users that have permissions over them. The group of users, for example may comprise the users of an area of the company. The groups of users by which we would like to filter (all of them) are added to this section marking the permissions that they have over the CIFKM element. If one doesn´t mark any column of permsissions for a group of users this implies that we are filtering by elements over which this group has all the permissions. It is not necessary for the user that runs the search, to be a member of any of the groups included, the filter will be applied over the set of elements that the user may access.

Generation of reports

This allows one to create or select types of reports with the results of the search with the “Fast report” generator of reports. If one launches the report the results of the search will be shown in it.

Templates section

Allows one to filter by CIFKM elements that have been created with templates added to this section.

Conditions section

Allows one to add several relative conditions; among others the fixed or variable values that certain attributes must satisfy such as the linked elements, hours and expenses concepts, etc.

Results section

In the results section the data are added, values of attributes, etc. that one would like to appear, with a fixed order, in the result of the search in table mode (one in each column)

If the user has opted for the results to be shown in text mode instead of in table mode, then he will only be shown those that are text, with the appearance of a Google search.

Designer of the search form

The design panel that has all the controls for the design of the template search form is shown in the figure.

One may access it with the button Edit search that is located in the upper part of the template.
