In CIFKM, there is a set of faculties that may be assigned to the users or groups of users, and each faculty allows one to perform a basic type of action in the application. By the term “roles” we refer to the different subsets of faculties, that are configured by the CIFKM administrators under a name (role name) with the objective of assigning in block the faculties that make up each role, either to users, or to groups of users.

The different faculties (that make up the different roles) are classified in 4 subsets as a function of their purpose in the application. Their different groupings within these 4 subsets constitute the: (1) the user roles, (2) the group roles, (3) the template roles, and (4) the “smartbox” roles.

The CIFKM administrators configure the roles by means of the option “Administration/administration of roles…” of the CIFKM floating icon menu. If a user has been assigned various role configurations of the same type, he will have faculties and privileges that are the result of the fusion of all of them.

Types of roles:

User roles. These are the groupings of faculites that are assigned directly to each user as a function of his position and responsabilities within the company, either when he is created, or later, by the CIFKM administrators in the personal window of the user.

These role configurations determine the administration permissions that each user will have throughout CIFKM, and may limit, if necessary, the specific faculties of the roles of the other types with respect to the same user. Thus, by means of the user roles one may limit, for example, who will: create new users in CIFKM , create new groups of users, create and administrate templates, create types of notices, etc.

The CIFKM administrator role will comprise the complete subset of administration faculties, though other user roles may also be configured with more limited administration faculties, for example, the administration of users, etc.

Administration faculties are assigned by means of user roles, and the users, will only see the administration faculties they possess in their floating icon functions menu.

In the standard version, 2 user roles have been configured: (1) Administrator and (2) User.

Group roles. These are groupings of faculties that are configured for the groups of users and that are assigned (marked in each user group), either to users included in the group, or to other user groups, whether or not the latter are nested (included) in the group.

When one creates a group of users, all the possible group roles that the CIFKM administrators have configured, are shown in its window. These may then be marked and assigned to users, or groups, whether or not they are nested in the group.

In the standard version, 3 group roles have been configured: (1) Administrator, that allows one to perform modifications to the group such as: including and excluding users, assigning user roles, eliminating the group, though not publishing in the group, nor reading that which has been published, (2) Publisher, that allows one to include the groups of users in the windows of the templates and smart box“, though not read nor use what is published in the group, and (3) Reader, that allows one to read and/or use what has been published in the group.

Group roles may be assigned in a certain user group (reference group), to groups of users that are not nested in it. Thus, CIFKM administrators may have administration faculties over the reference group without being a part of it. Also, certain users may include the group of users in the “smartbox” (publish them in the group) without being its members. To assign these “other permissions” there is a specific tab in the group of users.

When a group of users is nested (included) in another group, only its member users and user groups will be included in this other group, not the users or groups that had roles marked in the “other permissions” tab. That is, there are two concepts: (1) inclusion or not in a group has an effect on its nesting in other groups, and (2) having roles assigned over a group, that only has effects on it.

Template roles. These are groups of faculties that are configured for the administration of the smart box and default searches templates and that are assigned by marking the corresponding boxes in each template for the groups of users included in it.

These roles allow one to determine the use permissions (templates available to each user), administration and/or modification permissions over each one of the specific templates. When a template is configured, e.g. by a user who has this permission in his “user role”, all the template roles that the CIFKM administrators have configured will be shown, so that they may be assigned to groups of users included in the template so that these may use and/or modify it in the future, etc.

In the standard version 3 template roles have been configured:(1) Administrator, who allows one to perform modifications in the template tab, such as including or excluding groups of users in the template tab, assigning and excluding template roles, as well as eliminating the template (2) Use, that allows one to use it to create smart box, or to perform default searches and (3) “Search”, that allows one to filter by template to search only for smart boxcreated with it.

“Smartbox” roles. These are groupings of faculties that are configured for the administration of thesmart boxand that are assigned (marked) in each smart box) to the groups of users included in them. These roles allow one to determine the permissions that the users with the group role “read” over the smart box in such groups of users, will possess.

To the creator of a smart box will be shown the smart box roles that the CIFKM administrator has configured, in its permissions section. He may then assign them to user groups that he may have included in the in the smart box“. It is also possible that the smart boxcreator may not be able to assign smart box roles to anyone simply because these are determined in fixed form in the smart boxtemplate that he used to create it. This is because the template may assign these roles by scripting code as a function of the values of a certain attribute determined for specific groups of users.

The CIFKM administrators configure the roles by means of the menu option “Administration/administration of roles…” of the CIFKM floating icon.

One can create and edit roles of a desired type by means of the role window. Below we show some examples of different types of roles that may be configured.

Administration of user roles

The CIFKM administrators access the administration of user roles from the menu option “Administration/administration of user roles” of the Floating icon.

  1. Window of administration of user role. Shows the list of user roles configured and allows one to create new roles. “Clicking” on any role from the list, opens it; in this case the “general user”.
  1. User role window. Allows one to configure the faculties of the users who have been assigned this role.
  1. List of privileges or faculties to be selected. Allows one to mark the faculties from those available for this type of role.

Administration of group roles

The CIFKM administrators access the administration of group roles from the option “Administration/administration of group roles” of the Floating icon menu.

When a group of users is created, the different types of group roles that have been configured will be shown in the group. These may then be assigned to the members of the group, or to third (non-member) parties.

1.- Window of administration of group roles. Shows the list of group roles configured and allows one to create new roles. “Clicking” on any group role form the list, it opens, in this case the “publisher” group role.

2.- Window of the group role. Allows one to configure the set of faculties that the group role comprises. These may then be assigned to the members of the group or to third parties in the “other permissions” tab of the user group window.

3.- List of privileges or faculties related to CIFKM smartbox where the group is included.

“Create elements” means that the user who has this faculty marked in his assigned role in the window of a determined group of users, may include this specific group in the window of any element over which he has faculties to modify. This faculty in itself doesn´t allow the user to view the content of the element. In the example of the figure, the so-called publisher role has only this faculty marked, which means that the user with this role marked in a group of users may create an element and include in it this group of users; or if the element exists already, he may include the group in it, if he also has the smartbox role “Modify data” marked here. For example, regarding an order made to the company, once the “order” smartbox has been created, this will be administrated by other users in the user group that have been assigned the group role that includes the faculty “Consult elements”.

Consult elements” means the user that has this faculty marked in a group role he has been assigned in a group of users, may view and administrate the content of any CIFKM element that includes this group of users. He may also perform the actions corresponding to the faculties included in the role(s) marked in the smart box for this group of users. This faculty alone doesn´t allow the user to include the group of users in a CIFKM element, since for this he must have the “Create element” role marked.

4.List of privileges or faculties over othergroups of users. Administrate” means that the user who has been assigned, in a certain group of users a role including this faculty, may modify the assignment of group roles to the users included in the group, as well as include/exclude users in the group. This faculty alone, doesn´t allow the user to perform actions on elements nor use the group as a filter in searches. Search with the group” means that the user who has been assigned a group role including this faculty in a group of users, may use the group as a CIFKM element search filter tool. For example, a certain group comprises the users of a certain area of the company and one uses the group, as well as other filter parameters, to search for CIFKM elements related to this area.

Administration of template roles

The CIFKM administrators access the administration of template roles from the option “Administration/administration of roles” of the Floating icon menu.

When one designs a smartbox or default search template, the different types of template roles that have been configured by the CIFKM administrators are shown in its window. They may be assigned to groups of users that are included in the template.

1.- Window of Template roles, either of a CIFKM element or of a default search. Shows the list of template roles configured and allows one to create new roles. “Clicking” on any template role in the list its window opens, in this case the “template user”.

2.- Window of the template role. Allows one to configure the set of faculties which each template role comprises. They are displayed both in the templates of CIFKM smart box and in the default searches so that they may be assigned to each of the users or groups that are added to the template and who may therefore use it.

3.- List of privileges or faculties to configure template roles. Use template” means that the user who, in a determined template, has been assigned a template role that includes this faculty, may use the template to create CIFKM smartbox or to run searches if one is dealing with the template of a default search. Modify template” means that the user who in a determined template has been assigned a template role that includes this faculty, may modify the template. However, this faculty is only effective regarding the users who in some user role that they have been assigned, may create and modify templates; these roles are normally only assigned to the CIFKM administrators. But, an administrator may not be authorized in a specific template. Eliminate template” is similar to the previous faculty but concerning the elimination of the template. Search with the template” means that the user, that has been assigned a template role including this faculty, in a certain template may use the template as a filter to run searches of elements created with the template.

Administration of “smartbox” roles

The CIFKM administrators access the administration of “smartbox” roles from the option “Administration/administration of element roles” of the Floating icon menu. When one creates a CIFKM smart box, the different types of roles that have been configured by the CIFKM administrators are shown in its permissions section. These may then be assigned to groups of users that are included in this section to view or utilize the smartbox.

1.- Window of administration ofCIFKM smartbox roles. Shows a list of configured smartbox roles, and allows one to create new roles. “Clicking” on any “smartbox” role in the list, it opens, in this case “read”.

2.- CIFKM smartbox role. Allows one to configure the set of faculties that comprise each smartbox role. These roles will be displayed in the CIFKM elements so that they may be assigned to each of the users or groups of users that have been added to the permissions section of the smartbox.

3.- List of privileges or faculties to configure the smartbox roles. The faculty “Modify data” allows total control of the CIFKM smartbox, though it doesn´t allow one to download contents. In the example of the figure only the view and download contents faculties have been enabled, because that smartbox role will be assigned exclusively to those users who need only read the contents.
